Privacy Policy

When you book or join a waitlist we collect:

• your full name, email address and mobile number
• your school or institution, which group describes you (Form 5 or SPM leaver, Diploma graduate, Degree graduate) and your main interest area
• for participants under 18, a parent or guardian's name and mobile number
• the time you gave consent, your booking reference and the session you booked
• technical data needed to run the service securely, such as your IP address and the time of each request

We do not collect your IC number, date of birth, or card or bank details.

• to reserve and confirm your seat and send your confirmation, receipt, reminder and joining instructions
• to contact you, or your parent or guardian, about changes to your session, including a cancellation or a refund
• to tailor the session to the audience attending
• to keep accounting records required by Malaysian law
• to protect the service against fraud and abuse

We do not use your personal data for marketing, and we do not add you to a promotional mailing list. The emails we send are limited to your booking: confirmation, receipt, reminder, joining instructions, cancellation, and refund.

Payments are processed by SenangPay. You enter your card or online banking details on SenangPay's secure page, not on our website. We never see or store those details. SenangPay tells us whether the payment succeeded and gives us a transaction reference, which we keep with your booking.

We share personal data only as needed to take your booking and run the session:

• SenangPay, to process your payment
• the email service that sends the booking messages listed above
• the host that stores the booking database. That host may be located outside Malaysia. We transfer the data only as needed to operate the booking, and we require the host to protect it
• speakers and staff running your session, who see the attendee list only
• the provider of the online channel we use for your session, such as Microsoft Teams, Zoom, or another channel we approve, to the extent needed to admit you
• authorities, where Malaysian law requires it

We do not sell your personal data.

We keep booking and payment records for 7 years, so we can meet Malaysian accounting and tax duties. We delete or anonymise waitlist details within 12 months after the session you joined the list for. We keep technical request logs, including IP address, for 90 days. After these periods we delete or anonymise the data, unless the law requires us to keep a record for longer.

Data is encrypted in transit, access is limited to authorised staff who sign in with two-step verification, and every admin action is logged.

If the participant is under 18, the person booking confirms that a parent or guardian has agreed to the participant attending and to us processing the participant's personal data. We collect the parent or guardian's name and mobile number so we can reach them about the booking.

You may ask to access or correct your personal data, or withdraw your consent, by emailing info@epicaptureasia.com. We will respond within 21 days as the PDPA requires. Withdrawing consent does not by itself entitle you to a refund. If we cannot continue the booking without that data, the Cancellation & Refund Policy applies.
